WhatsApp is where most Indian customers already spend their day, which makes it one of the most effective channels for order updates, reminders and support. But there are two very different products with "WhatsApp Business" in the name, and choosing the wrong one is a common mistake.
WhatsApp Business app vs WhatsApp Business API
| WhatsApp Business app | WhatsApp Business API (Business Platform) | |
|---|---|---|
| Best for | Small businesses, one person replying | Growing businesses that need automation and scale |
| Users | One phone plus a few linked devices | Many agents through a shared inbox or CRM |
| Automation | Basic greeting and away messages | Chatbots, automated alerts, workflows |
| Integration | None | Connects to your website, app, CRM, payment and order systems |
| Cost | Free | Charged per message by Meta, plus your provider or platform |
What businesses use the API for
- OTP and login verification — authentication messages delivered on WhatsApp.
- Order, payment and delivery alerts — sent automatically from your system.
- Appointment and payment reminders — fewer no-shows and late payments.
- Customer support — a chatbot answers common questions and hands over to a human when needed.
- Marketing campaigns — offers and announcements to customers who opted in.
How pricing works
Meta charges for template messages that a business sends, and the rate depends on the message category — marketing, utility or authentication — and the recipient's country. Since July 2025 pricing is per message rather than per conversation. Replies within an open customer service window (24 hours after the customer last messaged you) are free, and utility templates sent inside that window are also free. On top of Meta's charges, your solution provider or platform may charge a fee. Always check Meta's current rate card before you budget, because rates are revised from time to time.
Getting started: the steps
- Create or verify a Meta Business account for your company.
- Choose a phone number that is not already active on the regular WhatsApp or WhatsApp Business app.
- Set your display name and profile — it must match your business and follow Meta's naming rules.
- Create message templates for anything you send first (OTPs, alerts, offers). Each template is approved by Meta before use.
- Integrate the API with your website, app or CRM so messages trigger automatically.
- Collect opt-in from customers before sending them messages.
Best practices
- Only message people who opted in, and make it easy to stop messages.
- Keep templates short and useful — utility messages perform far better than generic promotions.
- Use a chatbot for the first reply, with a clear path to a human agent.
- Measure delivery, read and reply rates, and prune templates that people ignore.

Frequently asked questions
Is the WhatsApp Business API free?
No. The WhatsApp Business app is free, but the API charges per template message based on the category (marketing, utility or authentication) and the recipient's country. Replies within the 24-hour customer service window are free.
Can I use my existing WhatsApp number for the API?
Yes, but the number must first be removed from the regular WhatsApp or WhatsApp Business app, because a number can only be active on one of them at a time.
What is a WhatsApp message template?
A pre-approved message format that businesses must use when they start a conversation, such as an OTP, order update or offer. Templates are reviewed by Meta before they can be sent.
